The position is part time (min 25 max 34 hours per week) with some flexibility and additional hours as the business requires. The administrator accounts/farm secretry will be responsible for bookkeeping and payroll services for clients within the business, but all areas of the business may impact on the role and other duties associated are included. This position will mainly cover clients in the York to Northallerton area.
The person in the role will be an excellent communicator with a cheerful personality. An organised administrator with good financial competence who is a self starter and can work on their own initiative. The role includes customer liaison, bookkeeping, payroll and administration, alongside assisting the other members of Team as required. Ability to develop relationships/contacts with customers, suppliers and organisations, as they will work closely with all stakeholders including face to face with the customer. The role involves working with Microsoft Office, including use of Word, Excel and Outlook. Alongside accounts packages such as Farmplan Business Manager and Earnie Payroll, and other software packages as appropriate for the clients and the business.
A minimum of Grade C or equivalent in maths is required, but no experience is necessary as training will be given. Some experience will be helpful and pay will be commensurate with knowledge and experience.
Duties include
- Visiting clients and completion of accounts and payroll.
- In particular running the office of a client near York.
- Control of your own calendar and making themselves available to clients at appropiate times to suit.
- Invoicing and processing payments.
- Making payments on behalf of clients, assessing cashflow and ensure payments are made timely.
- Completion of payroll.
- Farm Assurance preparation and acting upon as appropriate.
- Managing weights of crops and animals and payments.
- Managing Customer Requirements and Expectations
- Inputting as required both for clients and Vicky Anderson Ltd
- Collation, preparation and distribution of the figures or foreacasts as required.
- Representing our company at events, dealing with current and potential customers.
- Other duties will be required which may not necessarily be associated with bookkeeping for clients, to ensure the smooth running of the office and the business of Vicky Anderson.
- Filing any relevant paperwork as appropriate.
TRAINING
- You will be given ongoing training whilst working in the office, and your intial training period will be 6 months, after which time your progress will be assessed and further training provision discussed and pay terms and mentoring agreed.
HOLIDAY ENTITLEMENT
- 6 weeks holiday per annum pro rata, including bank holidays, according to the hours worked. The holiday year runs from 1st April. Should you leave the employment during the year you will be paid for any holiday you are due and if any holiday has been overpaid this will be deducted from your final pay. As the office closes between Christmas and New Year a proportion of holiday must be kept to cover this period.
PROBATIONARY PERIODS
- There will be a probationary period of 3 calendar months which can be extended for a further 3 months should Vicky Anderson or her managers feel there is a requirement. At any point the job holder will be informed of any further requirement for a probationary period, should there be a need for discussion.
CONFIDENTIALITY
- Divulging commercially significant information, such as information from the database, to a competitor, even unwittingly, will be grounds for IMMEDIATE dismissal. All information held within the business of Vicky Anderson Ltd is confidential and must be treated with the utmost care. All intellectual property associated with the business Vicky Anderson Ltd belongs to Vicky Anderson. The employee must obey reasonable instructions, use skill and care in their work, and act faithfully and honestly.
SICKNESS
- During any period of sickness which prevents the employee’s attendance at work, the employer must be contacted in the first instance at Beech Hill Office to confirm the non attendance for work and the estimate of the period of illness. The first seven days of sickness can be self certificated, but a doctor’s sick note must be provided after the seventh day. You will receive no payment for the first three days of sickness and after that you will receive Statutory Sick Pay up to the regulatory 28 weeks.
